KyraPilot is a product of KYRABASE Technologies Pvt Ltd ("we," "our," or "us"). We provide an AI-powered proposal and invoice generation platform for freelancers and agencies at kyrapilot.com.

Account Information: Name, email address, company name, and password (stored as a secure hash) when you create an account.
Client Information: Client names, email addresses, and company details that you provide when creating proposals and invoices.
Proposal & Invoice Data: Project descriptions, proposal content, invoice line items, amounts, and payment statuses.
Usage Data: How you interact with our service, including pages visited, features used, and timestamps.
Waitlist Data: Email addresses submitted through our waitlist form.

3. How We Use Your Information

To provide and maintain our service
To generate AI-powered proposals based on your input
To create and send invoices on your behalf
To send transactional emails (proposals, invoices, password resets)
To communicate product updates and important notices
To improve our service and develop new features
To prevent fraud and ensure security

4. AI Data Processing

When you generate a proposal, your project description and client details are sent to third-party AI providers (Google Gemini, Groq) to generate content. We do not store your data on these third-party platforms beyond the time needed to generate the response. The generated content is stored in our database as part of your proposal.

5. Data Storage & Security

Your data is stored on secure servers hosted by Hostinger.
Passwords are hashed using bcrypt and are never stored in plain text.
Authentication uses JSON Web Tokens (JWT) with HttpOnly cookies.
Database backups are performed daily.
All data transmission is encrypted via SSL/TLS (HTTPS).

6. Data Sharing

We do not sell, trade, or rent your personal information to third parties. We may share data only in these cases:

AI Providers: Project descriptions are sent to AI providers to generate proposals (see Section 4).
Email Delivery: Client email addresses are used to send proposals and invoices via SMTP.
Legal Requirements: If required by law, regulation, or legal process.

7. Your Rights

You have the right to:

Access your personal data
Update or correct your information via the Settings page
Delete your account and associated data by contacting us
Export your proposals and invoices as PDF
Withdraw consent for marketing communications

8. Cookies

We use essential cookies for authentication (JWT token). We may use Google Analytics to understand how users interact with our service. You can disable analytics tracking in your browser settings.
